Security services records

Subseries contains records documenting the coordination of security, protection, disaster management and emergency medical services prior to and during the games. Records include communications with the RCMP Integrated Security Unit, strategic planning for public safety, and general information about venue and facility security.

Sustainability, inclusivity and aboriginal participation records

Subseries contains records documenting VANOC activities related to fostering environmental sustainability, incorporating concerns of the Downtown East-side into Games planning, and facilitating aboriginal participation in Games events and activites (does not include records related to participation of the four host first-nations: Lil'wat, Musqueam, Tsleil-Waututh [Burrard], and Squamish)

VANOC partner relations records

Subseries contains records documenting VANOC's relationships with their partner organizations: the Canadian Olympic Committee (COC) and Canadian Paralympic Committee (CPC); the Government of Canada and Government of British Columbia; the Lil'wat, Musqueam, Tsleil-Waututh [Burrard], and Squamish First Nations; and the City of Vancouver and Resort Municipality of Whistler. Records relate to managing relationships with the listed governments and organizations in their roles supporting and hosting the Games. Records consist primarily of correspondence, reports, and planning documents.

Torch relay records

Subseries contains records documenting the development, planning and execution of the Olympic Torch Relay that took place from October 30, 2009 to February 12, 2010. Records include route requests, route planning guides, community recognition guides, a database of torchbearers, correspondence, complaints, and sponsorship information.

Sport competition records

Subseries contains records documenting sport and athlete development, and competition management. Records consist primarily of correspondence with and reports to/from numerous Canadian sporting organization regarding the development of Canadian athletes, and communications with international sporting federations regarding the conduct of competitions of their respective sports. Does not include records about specific competition schedules or results.

Vancouver competition venues records

Subseries contains records documenting the design and construction of competition and training venues in and around Vancouver, including:

Interview worksheets and transcriptions

Subseries consists of the interviewer worksheets, correspondence, any transcriptions of interviews that were completed, and other notes, including descriptions of photographs leant to the Dunbar History Project for copying. Some files contain obituary notices; the majority of these were printed in 2009 and added to folders. Folders are organized alphabetically according to last name of the interviewee or correspondent. Paper files for group interviews and sound recordings of other events are included in this subseries following the alphabetical name listings. Please see Interview tapes subseries for audio tapes of the interviews for most, but not all, of the interviews.

Non-competition venues records

Subseries contains records documenting the planning and use of non-competition venues and issues related to the venues and sites, including:

Legal matters records

Subseries contains records related to the management and administration of VANOC's legal affairs, including management of contracts and agreements, administration, licensing and enforcement of intellectual property rights associated with the Olympics, legacy matters related to the Vancouver 2010 Bid Corporation and incorporation of VANOC, and litigation. Subseries also includes records related to the governance of VANOC, including the meetings of the Board of Directors and various sub-committees.

Membership case files

Subseries consists of records documenting application for and approval of membership in the Association.

The subseries contains case files of received and/or approved applications for various categories of membership, often with supporting documentation including: copies of supporting primary documents to demonstrate unbroken lineage from a Loyalist ancestor, copies of awarded certificates (if applicable), and in some cases associated correspondence.

Culture and Ceremonies records

Subseries contains records documenting the planning and execution of ceremonies and cultural events conducted by VANOC during the games. Includes records related to the participation in the Torino (2006) Games closing ceremonies, opening, closing, and medal ceremonies for the 2010 games, and Cultural Olympiad and Olympic Live sites (free performing arts events including theatre, dance, music, etc. conducted as one of the three "pillars" of the Games - sport, culture and environment - identified by the IOC.

Olympic Village venues records

Subseries contains records documenting the planning and development of Olympic Villages in Vancouver and Whistler, including the Vancouver Olympic Village, Whistler Media Village, and Whistler Athlete's Centre. Records include correspondence, proposals, planning documents, briefing notes, reports, site investigations, archaeological assessments and other documents.

General external relations records

Subseries contains records documenting VANOC's relationships with the International Olympic Committee (IOC), as well as other non-partner organizations, including provincial and territorial governments (excluding British Columbia), municipal governments (excluding Vancouver and Whistler), and non-profit organization and associations. Records include correspondence with non-partner organizations, documentation of IOC visits and technical reviews, progress reports to the IOC, and proceedings and related material from meetings with the IOC Coordination Commission, established to manage working relationships among VANOC, International [sporting] Federations (IFs), and National Olympic Committees (NOCs).

Whistler competition venues records

Subseries contains records documenting the planning, design and construction competition venues in the Whistler region and Callaghan Valley, including:

Interview tapes

Subseries consists of the audio recordings of the interviews conducted as part of the research for the book, "The Story of Dunbar: Voices of a Vancouver neighbourhood." Tapes are named according to the last name of the interviewee or the event that was recorded. Please see the Interview worksheets and transcriptions subseries for related materials.

Communications records

Subseries contains records documenting VANOC's internal and external communications activities, including provision of style guidelines, handling of enquiries and information requests, management of media relations, and monitoring public opinions about the Games. Records include correspondence, interviews, style guides, media kits, fact sheets, and surveys and reports.

Marketing and sales records

Subseries contains records documenting VANOC's marketing, sponsorship and sales activities, including general marketing, use of mascots in association with advertising and sponsorship, provision of services to sponsors, communication of rights and benefits to licensed suppliers. A substantial portion of the records relate to brand protection - efforts by VANOC to prevent unauthorized use of VANOC emblems, imagery and trademarks, and to thwart so-called "ambush marketing" by businesses not officially associated with the Games.

Meeting files

Subseries contains a chronological file of correspondence and other items associated with Council "in camera" meetings.

Venue development records

Subseries contains records documenting VANOC's overall venue development programme. Records are related to the general oversight of all venue construction, not specific details of particular venues. Records include project plans, construction progress reports, timelines, budget information, project management tools, schedules, correspondence and similar material.

Subject files

Subseries contains files on issues requiring budgetary approval by Council, including personnel and labour matters. Arranged alphabetically by subject.

Look and Creative Services records

Subseries contains records documenting the development and management of VANOC's visual image and identity as represented in images, logos, pictograms, mascots and other visual symbols associated with the Games. Includes records related to the development of the overall "look" of the Games, conduct of design competitions, and development of Olympic and Paralympic emblems and mascots.

History Project Committee records

Subseries contains the administrative records of the Dunbar History Project committee. These include minutes of meetings, budgets, press releases, correspondence, planning notes, and the contact information for the interviewees.

Photographs of banners

Subseries consists of closeup and distant views of banners hanging on posts along West Georgia Street, the Georgia Viaduct, Burrard Street and Burrard Street Bridge and Granville Street and Granville Street Bridge. 1981 and 1982 shots also feature closeups of banners in interior displays and in City Council Chambers. Banners featured other than those for the Summer Street Banner Program include sundry 1954 banners, some 1983 private installations on 4th. Avenue and banners for the Pope's visit in September 1984. Also includes photographs taken at unveiling ceremonies and receptions at City Hall, including photographs of banners, artist, and attendees.

Streets, transportation and utilities

Subseries consists of Council reports and other records relating to the following Engineering Department functions: street and highway planning, building and maintenance; traffic engineering (including the planning and street building that went into Skytrain station areas); public transportation planning and monitoring (buses, Seabus, Skytrain, West Coast Express, bicycle transportation, etc.); street naming; local improvements planning and execution; and sewer and water system planning, construction and maintenance. Banners

Subseries consists of original banners designed for the Summer Street Banner Program and two banners for the 1997 APEC conference. There are gaps in the sets and in the years covered.

Administrative files

Subseries consists of notes on banner themes and artists, correspondence, media kits, three reference albums of color photostats of photographs of the banners on city streets and reference slides of banners held in the Archives.

Committees, boards and commissions

Subseries consists of the working files of City committees, boards, commissions and task forces, reference files pertaining to the City's involvement in the governing of the Greater Vancouver Regional District, reference files relating to additional outside bodies in which the City retains membership or representation (e.g. Metropolitan Board of Health), and the supporting documents of Council's special committees. Records consist primarily of minutes, correspondence, and reports. Subseries is divided into the following filing system subdivisions:

Community and environmental protection

Subseries consists of records relating primarily to Council decision-making on Fire and Police matters, but also including by-law enforcement of air and water pollution, garbage disposal, transportation of dangerous goods, noise, sign and billboard control, and a variety of social and global issues. Commercial regulations

Subseries contains documents supporting Council decision-making on issues relating to permits and licenses applications, permits and licenses violations, hours of business violations, and vehicles for hire (e.g. taxis and towing vehicles) applications and violations: those cases which required ruling by Council according to existing by-laws. Subseries is divided into the following filing system subdivisions:

Shopping hours / hours of business; and

Culture, health and recreation

Subseries consists of records relating to functional units of the City including the Health Department, the Board of Parks and Recreation, the Vancouver Public Library, the Civic Theatres Department, and the general issues associated with these functional areas, as they came before Council for decision-making or information purposes. Also included are files pertaining to the primary special events held in Vancouver (e.g. Expo 86, the Sea Festival, etc.). Subseries is divided into the following filing system subdivisions:
