Debenture issue and accounting records

Series consists of records relating to the issuance, sale, and management of debenture issues by the City. The series also includes records created by the City to manage post-amalgamation interest payments for debentures issued by the Municipality of Point Grey.

Records include a register of applications to purchase debentures and a cash book of purchases of debentures issued under the authority of by-law 2378, as well as a group of summary reports from the City Accountant's Office to the Treasury Department regarding upcoming debenture maturities.

Building Inspector's subject files

Series consists of the subject files of the City Building Inspector, as head of the Building Department (until 1968), then as head of the Building Inspection Office within the Permits and Licenses Department (from 1969), relating to administrative matters, to building inspection (to ensure adherence to zoning regulations including for the public housing projects), and to plumbing inspection (according to regulations of the Plumbing By-law). The City Building Inspector worked closely with the Director of Planning and the Corporation Counsel, in maintaining zoning and inspection regulations. This group of officials also worked as part of the decision making bodies: the Technical Planning Board (of which the Director of Planning was the chair); in consultation with the Town Planning Commission (as merited); reporting to the City Council committee responsible (names varied, e.g. Building and Town Planning Committee, responsibilities taken over by Board of Administration in 1966), and, if a case proceeded further, to City Council in public hearing. All of these officials and bodies and the processes of their time are documented here. Some of the special projects files contain copies of plans and the low rental public housing files contain CMHC applications. Also included are some applications from property owners for Zoning and Development By-law amendments (1962-1965). Arranged alphabetically by subject.

Series consists of originals of "Building report for month of . . . ", relating to reporting numbers on permits issued and monetary values of the building or alterations authorized, according to zoning guidelines of the City. Arranged chronologically.

Project files

Series consists of Strathcona Rehabilitation Project Office records, Strathcona Area Housing Society records and Strathcona Co-operative records (SCOOP) records containing minutes, reports, correspondence, notes, case files, financial records, agreements, contracts, applications and plans.

Engineering Department slide collection

Series consists of images (slides) taken in support of Engineering Department work performed in the 1970s and 1980s. Major projects undertaken in this time that are documented in this series include the construction of the Expo Line (Skytrain), the construction and opening of the 1985 Cambie Street Bridge, the cleanup of the shoreline around False Creek and building of the Seawall, and the conversion of Granville Mall to pedestrian use.

Other images in this series show work at the Vancouver Landfill in Burns Bog (Delta, BC), construction and maintenance of streets, sidewalks, sewers, waterworks, lighting, and parks throughout the city, and Engineering equipment and facilities.

Individual image titles are taken from the database used by the Engineering department to organize and catalogue the images. The titles tend to relate to projects and activities, and are not always reflective of the content of the images. 991 images were not identified in this database and are currently untitled. Images in this series were taken by City employee Alan (Al) Ingram.

Series also includes one subseries of textual records (subseries 1 - Supplementary paperwork) used to organize the images.

Program subject files

Series consists of subject files containing correspondence, minutes, research material, photographs, agreements, press releases, publications, promotional material and other records pertaining to Centennial programs and events, promotional activities and communications, licensing, fundraising activities, funding of community projects, and various program committees coordinated by the Vancouver Centennial Commission. Series also includes scrapbooks, original artwork and other graphic material, sound recordings and audiovisual material.

Correspondence

Series consists of incoming, outgoing and internal correspondence relating to the activities of SPEC and the Society's provision of information and publications upon request to students and the public, including letters, e-mails, and memorandum.

Reports, publications and newspapers

Series consists of photocopied and original newspaper clippings, press releases, publications, reports, submissions, briefs, discussion papers, maps, pamphlets, brochures, journal articles regarding environmental and conservation themes. While part of the records in this series were produced by SPEC, much of the material was created by external organizations and collected by SPEC for reference purposes. This series also includes the SPEC newsletter, Spectrum (previously published under the titles Ertceps, Spectre, and Perspective).

City Clerk's Office operational subject files - including Council supporting documents

Series consists of City Council and Council committees supporting documents, communications to Council from internal and external sources, and a wide variety of informational material (pertaining to Council business and the running of the bureaucracy), all relating to the background and decision-making of issues before Council, to the Clerk's capacity as information officer for and public liaison with Council, and to the recordkeeping responsibilities of the Clerk for the City at large. The physical arrangement is by filing classification number in 3-year batches (the classification lists have been kept; see related records note below), and the principles of that arrangement have been maintained in the printed filelist: that is, the major categories are treated as subseries, and the filing within each subseries is alphabetical by file title (with minor title editing for language consistency over time). Projects, programs and events

Series consists of promotional material, proposals, schedules, reports, and correspondence relating to SPEC’s participation or interest in conferences, exhibitions, and various projects. Initiatives included recycling, climate change policy, pesticides, waste management, sustainable energy, water resources, educational programming and other environmental issues.

Series consists of four registers of building permits; three are arranged by legal description number; the third is arranged chronologically.

Building permit registers

Series consists of two subseries: daily reports of building permits (Oct. 1941 - Dec. 1942, Jan.-Dec. 1947) and record/registers of building permits (1901-1904, 1909-1945). Records relate to applications to erect or alter buildings according to by-law requirements and fees charged for the permits by the City. The daily reports, the incomplete sequence, give essentially the same information as the record/registers - owner, architect, contractor, and details (e.g. "alteration to front") - except during the 1940s when the "daily reports" were slightly more detailed whereas the record/registers emphasized values. The A - Z record books for 1901-1911 are arranged by name of owner, while the books for 1912-1945 were kept in one long sequence by permit number (i.e. chronologically); 1912-1920 record books also contain indexes by name of owner.

Park Board central registry files

Series consists of records created by several divisions of the Park Board and maintained by the Board's central registry. Series contains various committee records, including minutes; administrative and financial records; files relating to specific parks (Operational location files series); and subject files pertaining to property acquisition and development, recreational facilities, beaches and marinas, and sports and other recreational programs. Arranged into four subseries: Housekeeping subject files, Operational location files, Operational subject files and Reports to the Board of Parks and Recreation files.

Fire record journals

Series consists of a listing of fires, giving alarm box, date, time, location of fire, building type, owner, cause, amount of loss, and insurance. Records are arranged chronologically.

Property tax assessment maps

Series consists of records created during the process of determining assessments for real property in the City of Vancouver. Records consist of copies of portions of city sectional maps which have been mounted on board. The majority of the maps have been heavily annotated in pencil with information used to determine assessed values of properties, including most recent resale values, square footages, presence or absence of sewers in neighbourhoods, recent flooding, etc.

For many of the areas of the city there are two maps, one of which may have little or no annotation.

Executive administration and subject files

Series consists of subject files and records dealing with Branch administrative matters created and accumulated by various Executive members of the Vancouver Branch. The series documents relations between the Vancouver Branch and other UELAC Branches and the Dominion office as well as the evolution in the Vancouver Branch’s administration and various projects and initiatives of the Branch.

The series contains correspondence, memoranda, minutes, reports, notes, copies of published materials, newsletters and circulars from various UELAC Branches, and reports.

UELAC Convention 1994

Series documents the organisation of the 1994 national UELAC Convention, hosted by the Vancouver, Victoria and Chilliwack Branches.

The series contains correspondence, minutes, notes, reports, and other preparatory records associated with the 1994 Convention and related events, such as the UEL Week and the Parks Canada display.

Photographs

Series consists of photographs of a wide range of UELAC organisational and social events.

The photographs in the series depict UELAC Vancouver Branch events and members over an approximately forty-year period. Subjects depicted in the photographs include traditional Loyalist clothing as prepared and worn by members at UELAC events, and a variety of meetings of the Branch and UELAC.

Communications records and publications

Series consists of records and publications collected or produced by the UELAC/Vancouver Branch or one of its agents in the pursuit of their mission to make accessible and disseminate information about the Loyalists.

The series includes newsletters, including the Loyalist Gazette, a semi-annual magazine having Loyalist content of editorials, articles, history, U.E.L. genealogical enquiries from subscribers, news and pictures; and Loyalist Trails, a weekly newsletter. The series also includes pamphlets, event programmes and other related ephemera; transcriptions and drafts of speeches; and study guides.

Membership records

This series consists of records generated in the course of administrating membership affairs.

The series includes attendance/roll call records, membership lists, indexed mailing lists, approved application lists (and awarded U.E. certificate numbers), and case files of membership applications and approvals.

Correspondence

Series consists of those correspondences generated or received by the Vancouver Branch and/or its agents in the course of their activities. This includes correspondence ranging from communication with the UELAC Dominion office, individual members, prospective members, other historical societies and institutions, government agencies, vendors, et cetera.

The series also includes associated materials as attached or otherwise linked to the correspondence by its respective creators.

Minutes and associated records

Series documents the daily activities, policy debates, operational concerns, planning, and initiatives of the UELAC over this period.

The records consist of minutes, agendas, reports, correspondence, and associated records created in the course of administering and holding UELAC Annual General Meetings (including reports from Public Relations, Convention, By-laws, Membership, Finance, Project, Young Loyalist, and Publications standing committees), UELAC Dominion Council Meetings, Finance Meetings, Genealogists’ Meetings, and UELAC Vancouver Branch (Executive) Meetings.

As some members of the Vancouver Branch also were involved in meetings of the national association, records documenting both local branch activities and Vancouver representation in national association activities are often intermingled within files.

Pont Grey annual reports and financial statements

Series consists of annual reports of accounts for the Corporation of Point Grey, submitted to the Reeve and Council and maintained by the Clerk to the Municipal Council. There are no annual reports for 1910 and 1916, Arranged chronologically.

Environmental Health Division Photograph and newsclipping albums

Series consists of two albums. The first album contains 113 photographs of interior and exterior views of condemned buildings, smallpox patients, and views of areas in Vancouver with sewerage drainage problems; and newspaper articles related to sanitation and public health issues. The second album contains 49 photographs of interior and exterior views of condemned buildings, and views of water impounded due to blockages in sewers drainage system. Originally arranged in two albums. For conservation reasons, the albums have been dismantled, and newspaper clippings removed. A photocopy of each album records the original arrangement.

Series consists of the register of building permits, indicating the permit number, owner, architect, location, value, and type of building. Arranged by permit number.

Real property appraisal cards

Series consists of real property appraisal cards covering residences, farm dwellings, duplexes, row houses, and small apartments. Affixed to each card is a small black and white photograph of the property. Each card contains a detailed description of the property and its appraised value. Arranged by roll number.

Community photographs

Series consists of photographs taken by Yucho Chow Studio and contributed by families, organizations and individuals to the project Chinatown Through a Wide Lens: The Hidden Photographs of Yucho Chow. Photographs were arranged by collector/curator Catherine Clement into eight thematic files: Associations, Children, Entertainers, Exteriors, Families, Portraits, Soldiers, Weddings.

Heritage inventory research files and building photographs

Series consists of research files on category A and B heritage designated buildings in Vancouver compiled in 1978 under the supervision of Edward Gibson of Simon Fraser University, further to the passing of the province's Heritage Conservation Act. Most of the files contain data sheets, architectural and historical research notes, copies of land title documents, bibliographies, and reprinted articles. Most files also contain a summary document prepared in 1979. Also part of this series are the buildings photographs (June 1978) removed from the files (now assigned item identifiers with the prefix CVA 409, there are corresponding 35 mm and 120 mm negatives). Both the files and the photographs are arranged alphabetically by building name.

Liquor license register

Series consists of 1 liquor license register maintained by the License Inspector. Each entry consists of the name of licensee, name of premises licensed, kind, and amount paid. Includes licenses for hotels, saloons, shops, wholesale, breweries, restaurants, and bartenders.

City Clerk's Office correspondence registers

Series consists of registers of incoming correspondence and interdepartmental mail received by the City Clerk's office. The registers record the date, name of sender, subject of letter, and the individual or department to whom it was forwarded. The registers of incoming correspondence date from 1935 to 1972; the registers of interdepartmental mail date from 1947 to 1969. Arranged chronologically.

Mountain View Cemetery registers

Series consists of cemetery registers from Mountain View cemetery, which was surveyed for a City burial ground in November 1886. The cemetery registers consist of an alphabetic index to the volumes which record burials for sections of the cemetery. These sections include the Old Cemetery, Horne Addition, Horne #2 Addition, Soldiers' Section, Abray Park Additions, Jones Addition, 1919 Addition and Societies' plots for the Masons, Knights of Pythias, Foresters and other groups. The alphabetic index (reels MCR 15-2 to 15-13) makes reference to page numbers in the registers corresponding to the cemetery section. In each register, the names are arranged by burial location in the section (range, block, plot, subdivision and lot number). Most registers (reels MCR 15-1, 15-14 to 15- 33) contain an alphabetic index of names in that volume. The index is sometimes found at the end of the volume. Entries usually give the following information: name of owner, name of deceased, age, birthplace, place of death, date of death, date of burial, sex, cause of death, name of physician, religion, marital status, amount paid for lot, amount paid for digging grave and remarks (usually the name of funeral company).

M.V. Pentowna plans

Series consists of construction and mechanical design plans. The plans show both original construction and the later rebuilding as a tug. The Canadian National Railways had the M.V. Pentowna built in 1926 to operate as a ferry on Okanagan Lake. The twin-screw motor vessel was prefabricated and constructed in Prince Rupert and Kelowna, and in 1937 was rebuilt as a tug. The vessel is preserved at Peachland, B.C.

Real property tax roll : showing details of current levies and arrears outstanding as of March 31, 1971

Series consists of tax notices indicating name and address of property owner, legal description of the property, the assessed values and mill rates for 1971 and the amount of taxes due as of March 31, 1971. Some records are arranged by Roll number, followed by records that had been renumbered to the new Coordinate roll number (renumbering of records was in progress at the time of creation).

Photographs

Series consists of photographs in various formats. These photographs include headshots, theatrical stills, and events: specifically annual press conferences, award ceremonies, and after parties.

Financial records

Series consists of the club's financial records, including a ledger book, receipts and disbursements, auditor's reports, trial balances, financial statements and grant applications.

Membership records

Series consists of records relating to the club's membership, including visitor's books, membership lists, and documents arising from members' involvement in areas outside of regular activities.

Minutes

Series consists of minutes of annual and executive meetings of the club. Also occasionally included are committee meeting minutes and treasurer's reports.

Scrapbooks

Series consists of scrapbooks containing clippings, concert programmes, letters, newsletters, photographs of artists, and other materials documenting concerts and activities sponsored by the club. Also contains lists of club executives.

Correspondence

Series consists of correspondence relating to various internal administrative matters, guest artists, sister organizations (such as Imperial Order Daughters of the Empire University Women's Club), special events and projects (e.g. Centennial project), grants / scholarships to musicians, and music competitions including the Kiwanis Festival and Canadian Music Competition.

Publicity records

Series consists of records relating to publicity for concerts including the following: press releases, notices, concert programmes, programme season announcements, clippings, artist biographies, and photographs of artists.
