Administrative records

Series consists of meeting minutes, correspondence, reports, financial statements, fundraising files and membership lists created or received by the Vancouver Civic New Democrats in the course of carrying out its administrative functions and election planning.

Election records

Series consists of candidate files, newsclippings, publications, financial records, donation records and social issue files related to May Brown’s civic election campaigns. Series also includes records related to the 1988 John Turner federal election campaign.

Awards, honours and recognitions

Series consists of award and recognition certificates, honour rolls, complimentary and congratulatory notes awarded to May Brown for her contribution to the community. Awards include the Order of Canada, the Order of BC, Freedom of the City of Vancouver, and UBC Honourary degree Doctor of Laws.

Education and teaching records

Series consists of high school graduation certificates, post secondary graduation degrees, teaching certificates and teacher appointment of May Brown.

City Councillor, government appointments and volunteering records

Series consists of correspondence, photographs and publications documenting the events and activities in which May Brown participated when she was a City Councillor (alderman) and an appointed director of various government organizations. Series also contains records of May Brown’s volunteer roles as a director of various sports and recreational organizations.

Personal records

Series consists of articles, documents and books documenting the history of Mary Brown and her family. Series also contains greeting cards related to May Brown’s 80th Birthday and to her retirement in 1986.

Photographs

Series consists of photographs relating to May Brown’s personal life and her activities including her election campaigns and public services.

Gary E. Kitchen collection

Collection consists of photographs showing the interior of Vancouver Iron and Engineering Works, including the Cleveland Dam gate; news clippings; and a published pamphlet; all concerning Vancouver Iron and Engineering Works and Vancouver Machinery Depot, Ltd.

Bruna Dal Maso Brizzi memoir

The item is a personal memoir of Bruna (Bunny) Brizzi, and documents the experience of immigrating, settling, learning English, raising a family, and establishing commercial enterprises in Vancouver, as well as ties with Vancouver's Italian community.

Tim Birmingham collection - Greenpeace Amchitka scrapbooks

The four scrapbooks consist of press clippings, correspondence, pamphlets, bumper stickers, etc., and document Greenpeace's first campaign to stop the United States government's Amchitka nuclear bomb test off the Alaskan coast in 1971. Most of the clippings are from September to November, 1971, but also include retrospectives published in 1991, 2001, and 2008, as well a special supplement to the Vancouver Sun, 1969, "Special Decade Edition." The clippings are identified as coming from the following newspapers and publications: Vancouver Sun, Province, Prince Rupert Daily News, Nanaimo Daily Free Press, Toronto Star, Ottawa Journal, Victoria Daily Colonist, Parksville Progess, Georgia Straight, Newsweek Magazine, Toronto Globe and Mail, Vancouver Free Press, Calgary Herald, Victoria Daily Times, Calgary Albertan, Western Producer, Montreal Star, Parksville-Qualicum Beach Progress, Campbell River Courier, Lions Gate, Salmon Arm Observer, Pacific Tribune.

There is also one file of photocopied articles, from various papers, and one photograph of members of "B.C. Voice of Women," featuring Deeno Birmingham (undated).

Correspondence includes letters from Dave Barrett, M.L.A., Leader of the Opposition (B.C.); T.W. Trousdell, Correspondence Secretary, Office of the Prime Minister (P. E. Trudeau); Robert Stanfield, federal Leader of the Opposition; David Lewis, Office of the Leader of the New Democratic Party (federal); R.W. Lawson, Principal, Qualicum Beach Secondary School, as well as a few items of peronal correspondence.

Larry Wong collection

Series consists of correspondence, newsclippings, reports and petitions documenting the effort of the World War II Chinese Veterans (mainly members of the Army, Navy, Air Force Veterans in Canada Pacific Unit 280) of urging the civic, provincial and federal government to give Canadian Chinese the right to vote.

York House School collection

Collection consists of various publications produced at York House School for girls, including: York House Chronicle (yearbooks), 1938-1967; Yorkshire Pudding, (newsletters) ca. 1941-1965; the Greenhorn (student handbook), 1950, 1960, and 1961; house lists, 1838-1946, 1961; and other miscellaneous school publications.

Michael Wicks collection

Series consists of clippings, periodicals, programs and other ephemera material related to Vancouver's LGBTQ2+ community from the early 1970s to 2000s. Records cover a range of topics including activism, student groups, HIV/AIDS, censorship, marriage as well as pamphlets from various organizations.

Walter Warner collection

Series consists of a collection of official radio survey charts showing the weekly top tracks and albums in Vancouver. Collection includes charts from radio stations CKWX, 1959-1961, C-FUN, 1964-1967, and CKLG, 1964-1975. The collection is not entirely complete for each year.

VANOC central records

This series is one of the two main accumulations of VANOC’s core business records (the other being the digital records managed using Microsoft SharePoint 2007). The records document operational activities VANOC engaged in to prepare for and execute the 2010 Winter Olympic and Paralympic Games, and administrative activities required to sustain VANOC as an organization. Records in this series relate to:

Communicating and managing relationships with the general public (including promotion and marketing of the Games), members of the Olympic Family (International Olympic/Paralympic Committees, National Olympic/Paralympic Committees, International Sporting Federations), Federal, Provincial, Municipal and First Nations governments, sponsors, broadcasters and media, and community groups and organizations;

Organizing sporting competitions (including related supporting services and logistics such as transportation, medical services and drug testing), ceremonies (opening, closing and medal presentations), and cultural events;

Preparing venues for competition and non-competition events, and athlete accommodations, including the design and construction of new venues where required;

Governance of VANOC and the management of its financial and legal affairs, employees and volunteers, and office space.

Records in this series are primarily unpublished analogue textual documents, publications, photographs, artistic drawings, and renderings of technical drawings, architectural designs and maps. Some digital records stored on optical media (CDs and DVDs) are present; these were interfiled among the received files. They have been physically separated from the records, but remain intellectually associated with the records through the relevant file descriptions. This series does not include the core accumulation of digital business records. These were managed using Microsoft SharePoint 2007, and did not use the same organization as the records in this series.

Records have been organized into the following subseries based on VANOC’s records classification system (RCS). The RCS was organized into 50 sections, each related to a major functional area. See individual subseries descriptions for detailed scope and content notes.

Administration

Series contains files of the Administration business unit. This unit: led the development of the organization's strategic and business plans, provided planning and logistical support to other administrative units, and maintained BidCorp's central information databases. In this capacity, it developed the records management classification system that served as the foundation for the organization's recordkeeping procedures. Additionally, the unit oversaw the provision of office space, furniture, and equipment, and was also responsible for personnel and staffing matters.

The series is further divided into three subseries: General Meetings, Personnel, and Records Management System.

Athlete and Sport Development

Series contains records relating to BidCorp's Athlete and Sport Development (ASD) plan. Working with the Government of British Columbia and other partners to fund a program called "LegaciesNow," the purpose of the initiative was to ensure that the bid process did not divert resources from the sport system, but rather, regardless of outcome, strengthened the system through targeted funding efforts. LegaciesNow allowed BidCorp to increase awareness of and support for the Olympic bid, while not being forced to manage sports programs directly.

The series is further divided into two subseries: LegaciesNow, Sport Centres and Athlete Development.

Conference recordings

Series consists of 29 audio tapes containing recordings of various conferences related to Asian-American and Asian-Canadian experiences, identity and scholarship. Included in the series are recordings of the 1979 CASHRA (Canadian Association of Statutory Human Rights Agencies) conference, the ca. 1980 (Pacific and Asian Affairs Council) Conference and the 1980 W5 students conference.

G.L.T. Sharp drawings

Series consists of three pencil and coloured pencil drawings by the late Vancouver architect, G.L.T. Sharp. The drawings were purchased from the architect by Harold Kalman in the 1970's.

Background materials

Series consists of background research tapes containing documentation of events featuring Chinese and Asian-Canadian poetry, literature, and music; and interviews with community members and visiting Asian-Canadian and Asian-American writers and artists.

Bid Candidature Plan

Series contains subseries and files of the administrative business unit of the same name. The unit developed major themes of the bidding process that were required by the IOC candidate procedures, and also created the high level plans needed to achieve those themes. The unit formed the basis for the development and eventual submission of the final Bid Book, and pulled together key areas of the delivery plan, including: venues, villages, transportation, legacies, environmental issues, culture and aboriginal participation, Olympic education, and related themes.

Series is further divided into two subseries: Bid Master Plan and Guarantees.

Publications and memorabillia

Series consists of published material, internally circulated reports, and memorabilia accumulated by the Project and Information Management (PIM) Resource Centre. Items consist of memorabilia, promotional and advertising materials, and presentations targeted at sponsors, partners and the general public, and handbooks, guides and manuals guides for spectators, athletes, national team members, and VANOC staff and volunteers. Also includes similar material accumulated by the Vancouver 2010 Bid Corporation that was later incorporated into the records kept by the PIM resource centre. Also includes some items published by external parties acting alone or in cooperation with VANOC that relate to activities and events with links to the games.

Interview tapes

Series consists of five interviews with three British Columbia architects and two relatives of British Columbia archtects, and were conducted and recorded by Harold Kalman.

Bid Society

Series contains records generated during BidCorp's domestic phase, when the organization was known as the Vancouver Whistler 2010 Bid Society. Records document the organization's efforts to become the designated Canadian candidate city for the 2010 Winter Olympic Games.

Records include agendas, minutes, correspondence, memorandums, reports, and feasibility studies.

Project files

Series consists of notes, correspondence, newspaper articles, architectural surveys and other material pertaining to the preservation and study of various buildings in Vancouver. The records reflect the architectural conservation work of Harold Kalman while he was a professor in the Department of Fine Arts at the University of British Columbia during the 1970's. Many of the records relate to Kalman's fight to preserve several Vancouver buildings. The series also contains records relating to Kalman's architectural survey of the Gastown-Chinatown area.

VANOC 2010 Bid Corporation records

Records in this series relate to proposals for venue sites and their associated requirements, including venues for ice hockey and sledge hockey, speed skating and short track speed skating, curling, nordic skiing, alpine skiing, snowboard, freestyle skiing events. Records also relate to the proposed Richmond Trade and Convention Centre, and to the initial meeting of VANOC's Board of Directors.

Board Secretariat

Series contains subseries and files of the BidCorp Board of Directors and related administrative divisions. The Board and its administrative units created, implemented, and maintained a governance model for BidCorp, and provided ongoing support to its members. It also maintained several standing committees, including: the executive committee, the audit and finance committee, the strategic planning committee, the nominating/governance committee, and the international relations committee.

Series is further divided into four subseries: Board Committees, Board of Directors Corporate Law Advice, and Partner Relations.

Vancouver architect and building index cards

Series consists of index cards listing the names of Vancouver architects and buildings. Educational and professional details are listed for each architect on separate index cards. Not every index card lists the same amount of detail for each architect. Descriptive information is provided for each of the Vancouver buildings listed on separate index cards. Details include the name of the building, address, date of construction and architect. Not every index card provides the same amount of detail for each building. The index cards reflect the work undertaken by Harold Kalman and several assistants who compiled the information for the cards.

Communications and Media Relations

Series contains records of the Communications and Media Relations (CMR) administrative unit. The unit promoted awareness of BidCorp's efforts and activities. It facilitated support for the Olympic bid, and BidCorp's efforts, as well as managed the organization's relationship with the public, the media, governments, sponsors, and other entities. It developed BidCorp's overall communications strategy, as well as sought community and stakeholder feedback to gauge its effectiveness. A considerable part of BidCorp's purpose was publicity, so this unit was involved in nearly all major endeavors the organization undertook.

The series is further divided into eight subseries: Advertising and Awareness Campaign, Cooperation and Liaison, Collateral Production, Communication Strategy and Direction, Logos, Public Relations Services, Research Program, and TELUS and BidCorp Decision 2010 Media Guide.

War poster collection

Series consists of a collection of World War II posters created by various agencies of the Canadian, American and British governments. The posters were created to publish and disseminate public orders, encourage various war support activities such as purchase of war bonds, and promote security awareness among the public.

Consultancy project files

The series consists of project files created by Harold Kalman and Associates Ltd. (HKA) in the course of providing consultant advice to their clients. The content of the files varies considerably, depending on the nature of the work the client contracted HKA to perform. The degree to which individual projects are documented in the files also varies considerably. Individual files may include correspondence with the client and documents received from the client related to the project; internal communications among HKA staff about the project; notes, interviews, photographs, drawings, and other material created by HKA in the course of investigating and analyzing subjects relevant to the project’s goals; histories of the subject building or site, including histories written by HKA in the course of the work, as well as third-party histories acquired by HKA as part of their research; and drafts and final versions of recommendations, reports, and other project deliverables.

The series contains files for 464 distinct projects. HKA issued sequential project identifiers, formatted as ‘D###’, in the order that projects were undertaken. The project numbers have been appended to the file titles to facilitate grouping and sorting files in this series. Projects documented in this series are listed below. Project names are based on a job list included among the donated records. Project locations – provided in parentheses – were added to the list by the Archives. Locations have been categorized as:

Community Relations and Volunteers

Series contains records relating to BidCorp's community and government outreach and consultation programs, as well the organization's efforts to recruit volunteers to help with general bid promotion.

The series is further divided into seven subseries: Contact Lists, Cooperation and Liaison, Government Relations, Speakers and Events, Stakeholder Relations, Vancouver-Whistler Community Coordination, and Volunteer Recognition and Support.

Olympic Torch Relay - torchbearer photographs

Series consists of photographs of torchbearers participating in the Olympic Torch Relay. The series is organized into files, with one field for each day of the relay. Each day typically has one photograph of each torchbearer participating in the relay on that day. Some torchbearers were not captured. The Olympic flame was lit at a ceremony in Olympia Greece on Oct. 22, 2009. The relay took place from October 30, 2009 to Feb. 12, 2010.

Olympic Torch Relay - highlight photographs

Series consists of photographs from the Torch Relay, which took place from Oct. 30, 2009 to Feb. 12, 2010, as well as photographs from related events immediately prior to the relay, including the lighting ceremony (and rehearsals for the ceremony) in Olympia Greece on Oct. 22, 2009.

The images in this series were selected by VANOC staff/contractors from the daily images taken by the photographers assigned to cover the relay. VANOC organized the images into four groups - one for VANOCs own use, and three for distribution to the relay's corporate and government sponsors: Coca-Cola, Royal Bank of Canada, and the Government of Canada. As such, this series has been organized into three sub-series to reflect these groupings:

The content of the VANOC image set and the Government of Canada image set were found to be identical in content and organization, so only one set was retained, and assigned to a single sub-series.

Culture and Youth

Series contains records relating to the administrative unit responsible for the cultural and youth (CY) component of the Olympic Games. This work group researched, coordinated, and planned festivals to correspond to BidCorp's existing themes, and sought to promote the ethnic and cultural diversity of the host communities.

Finance and Procurement

Series contains records of the Finance and Procurement administrative unit. This unit was responsible for the provision of financial information required by BidCorp's management and Board of Directors to achieve the organization's overall objectives. The unit established and maintained the necessary process and resources to ensure accurate reporting of projected costs and exposures against baseline budgets, scopes of work, and programs. The unit also established the required policies and procedures to negotiate, procure, expedite, track, and administer BidCorp's needed goods and services

Series is further divided into five subseries: Accounts Payable, Agreements/Contracts/Purchase Orders, Audit and Tax Advice, Project Controls, and Trademark and Logo Protection.

Administrative records

Series consists of financial records (1970-1972), legal documents (1970-1972), reports (1969-1973), and crew background information (1976-1986).
