Fonds contains records relating to the operation of Vancouver Whistler Bid Society, which became the Vancouver Whistler 2010 Bid Corporation. Records consist of minutes, correspondence, policy documents, reports, studies, plans, advertising materials, financial statements, agreements, contracts, event materials, etc.

The fonds has been organized into the following sixteen broad series, based on existing organizational categories or business units: Administration, Athlete and Sport Development, Bid Candidature Plan, Bid Society, Board Secretariat, Communications and Media Relations, Community Relations and Volunteers, Culture and Youth, Finance and Procurement, Fundraising Sales and Services, Government Support and Services, International Relations, OCOG Planning, Sport Relations, Sports and Venues, and Villages and Operations.

Administration

Series contains files of the Administration business unit. This unit: led the development of the organization's strategic and business plans, provided planning and logistical support to other administrative units, and maintained BidCorp's central information databases. In this capacity, it developed the records management classification system that served as the foundation for the organization's recordkeeping procedures. Additionally, the unit oversaw the provision of office space, furniture, and equipment, and was also responsible for personnel and staffing matters.

The series is further divided into three subseries: General Meetings, Personnel, and Records Management System.

General Meetings

Subseries contains records relating to in house meetings, as well as those of the Finance and Strategic Planning Committees. For records of Board of Directors meetings as well as meetings of Board Standing Committees, see Board Secretariat series.

Records include correspondence, memorandums, reports, work plans, minutes, and agendas.

Personnel

Subseries contains records relating to the organization's staffing policies and procedures, including compensation, hiring and dismissal, and training.

Records include correspondence, memorandums, classification indexes, reports, and work plans.

Records Management System

Subseries contains records relating to the development and maintenance of BidCorp's records management system.

Athlete and Sport Development

Series contains records relating to BidCorp's Athlete and Sport Development (ASD) plan. Working with the Government of British Columbia and other partners to fund a program called "LegaciesNow," the purpose of the initiative was to ensure that the bid process did not divert resources from the sport system, but rather, regardless of outcome, strengthened the system through targeted funding efforts. LegaciesNow allowed BidCorp to increase awareness of and support for the Olympic bid, while not being forced to manage sports programs directly.

The series is further divided into two subseries: LegaciesNow, Sport Centres and Athlete Development.

LegaciesNow

Subseries contains records relating to public relations and communications support for LegaciesNow program initiatives and announcements.

Records include correspondence, reports, and brochures.

Sport Centres and Athlete Development

Subseries contains records relating to BidCorp's efforts to obtain direct funding for the development of municipal, regional, and national sports centres. Records also concern other funding initiatives launched to support the development of athletes at various ages and skill levels.

Records include news releases, work plans, minutes, memorandums, correspondence, reports, agendas, and presentations.

Bid Candidature Plan

Series contains subseries and files of the administrative business unit of the same name. The unit developed major themes of the bidding process that were required by the IOC candidate procedures, and also created the high level plans needed to achieve those themes. The unit formed the basis for the development and eventual submission of the final Bid Book, and pulled together key areas of the delivery plan, including: venues, villages, transportation, legacies, environmental issues, culture and aboriginal participation, Olympic education, and related themes.

Series is further divided into two subseries: Bid Master Plan and Guarantees.

Bid Master Plan

Subseries contains records relating to the overall development of the bid proposal.

Records include correspondence, memorandums, presentations, promotional materials, questionnaires, IOC procedural guidelines, application updates, IOC briefing materials, letters of protest, a complete set of finalized technical plans, bid book drafts, a finished bid book, and ongoing work plans.

Guarantees

Subseries contains financial guarantees from provincial governments, the federal government, municipal governments, and other entities.

Records include correspondence, contracts, and briefing materials.
