President's and Director's records

Series consists of records arising from the activities of the Vancouver Museums and Planetarium Association President and Director.
Series includes President's reports, monthly meeting and curatorial reports, as well as records of the Director of the Association. The Director's files include records regarding the administration of the three institutions managed by the Association, such as policies, contracts, budgets, minutes of various meetings; and files regarding exhibits, attendance, building matters, collections, insurance, the gift shop, fund-raising, publicity, and other matters.

Minutes

Series consists of records arising from various meetings of the Vancouver Museums and Planetarium Association, including Board of Trustees meetings, annual general meetings, meetings of the Association executive, and meetings of the Management Committee and the Structure Committee.
Series includes minutes and agendas, as well as supplementary materials such as reports, financial statements, correspondence, memoranda, policy statements, and other records.
Series consists of five subseries: 1) Board of Trustees minutes; 2) Executive Committee minutes; 3) Annual general meeting minutes; 4) Management Committee minutes; 5) Structure Committee minutes; and 6) Monthly reports to Board of Trustees

Financial records

Series consists of records arising from the financial activities of the Vancouver Museums and Planetarium Association, such as the collection of membership dues, budgeting, the filing of tax returns, and other activities.
Series includes cashbooks, estimates, budgets, income tax records, financial statements, membership receipts, and other records.
Series consists of two subseries: 1) Financial reports, budgets, and income tax records and ; 2) Membership receipts and other membership records.

Constitutions, agreements, and other legal establishment records

Series consists of records arising from the legal establishment and maintenance of the Vancouver Museums and Planetarium Association.
Series includes constitutions and bylaws, agreements between the Association and the City of Vancouver, samples of forms used by the Association, and copies of the Association's registrations under the Societies Act.

Collected photographs

Series consists of photographs which were collected by the Vancouver Museums and Planetarium Association, through the Vancouver Museum. Photograph were collected on a variety of subject, mostly in the City of Vancouver, but also encompassing the Greater Vancouver area, some sites in the Fraser Valley, and other sites in British Columbia. Subjects of photographs include: buildings; streets, roads, highways, and trails; bridges; beaches; waterfront areas; parks; views of Downtown Vancouver from various sites; monument, statues, and fountains; geological phenomena; the Fraser Midden archaeological site; rivers and dams; farms and ranches; logging and lumbering scenes; streetcars and other railway cars and engines; carriages, carts, and automobiles; construction and demolition scenes; and other subjects. The series also includes photograph of people, including; portraits; athletic clubs; Vancouver City staff and officials; military groups; clubs; people involved in recreational activities; people in parades; and other activities.
The series consists almost entirely of photographs. Some accompanying labels and explanatory notes have been retained with their respective photographs. Also, photomechanical reproductions (such as halftone prints) have been retained in the series when they have accompanied other photographs.
Series consists of three subseries: 1) Miscellaneous photographs; 2) Philip T. Timms photographs; and Erwin R. Gordon photographs.

Collected items

Series consists of materials which were collected by the Vancouver Museums and Planetarium Association, sometimes through the Vancouver Museum. Items includes newspapers, magazines, newsletters, newspaper clippings, pamphlets and programmes, postcards, unpublished manuscripts, books, notes, letters, certificates and deeds, photographs, sound recordings, posters, maps, and other materials.

Annual reports

Series consists of printed annual reports of the Vancouver Museums and Planetarium Association.
Other unprinted annual reports are available within Association Board minutes, Executive minutes, and President's and Director's records.

Fonds consists of records arising from the activities of the Vancouver Museums and Planetarium Association.
Fonds includes constitutions and bylaws; minutes of meetings; financial records such as financial statements, budgets, and membership fee receipts; annual reports; correspondence and memoranda; guest books; records of the President and of the Director, including reports, policy statements, contracts, budgets, correspondence; and items collected by the Association, such as newspapers and clippings, pamphlets, photographs, manuscripts and books, and other materials.
As a result of the close relationship between the Vancouver Museums and Planetarium Association and the Vancouver Museum, some records relating to the Vancouver Museum are contained within this fonds. This is the case especially for records created before 1958, during which time the Vancouver Museums and Planetarium Association was responsible for the everyday management of the Vancouver Museum.
Fonds consists of nine series: 1) Constitutions, agreements, and other legal establishment records; 2) Minutes; 3) Financial records; 4) Annual reports; 5) Correspondence; 6) Guest and scrap books; 7) President's and Director's records; 8) Collected items; and 9) Collected photographs.

Attached label reads: "Thirty-seven years ago in Stanley Park. Along the trail to 3rd Beach, about 150 feet west of the clump of Fir trees called the Seven Sisters. This is the remains of an Indian dug-out canoe that was abandoned on account of "dry rot" in the log. What is left of it is covered with dense green moss. The newly chopped chips were lying about when I made the above photograph. Philip Timms."
