Centennial project application files

Series consists of Centennial Project applications files containing some or all of the following: confirmation of receipt of the application, file number, name of proposal, contact name, sponsor number, correspondence (in some cases including photographs) concerning the project, and project proposal and application form. Most files contain a final report with supporting documentation or examples of their project. Approved projects have a green sticker on the top right hand corner of the file, a confirmation letter advising the endorsement of the project by the Vancouver Centennial Commission along with a Use Agreement for Sponsors and Organizers. Projects not approved or endorsed have a red rectangular sticker on the top right hand corner and do not have a letter of endorsement or use agreement in the file. Some files contain a confidential program evaluation guide for committee reviews.

Commissioner Ann Yandle records

Series consists of correspondence, an orientation binder, contact lists, promotional material, publications, press releases, programmes, invitations, and other records accumulated by Ann Yandle during her role as a Vancouver Centennial Commissioner. Records pertain to Yandle's Commission-related activities and those of the Commission in general. Included in the series are issues of the "Centennial Bulletin", June to October 1984; Commission news releases 1985 to 1987; and "Centennial Update" issues 14 to 18 and 21 to 36.

Housekeeping subject files

Series consists of subject files created by the Vancouver Centennial Commission pertaining to general administration; the organization, structure and reports of the Commission and its various committees and task forces; finance; personnel; equipment and supplies. Series is arranged into the following subseries: Administration records (1980-1987), Centennial Commission files (1979-1987), Premises files (1982-1985), Office equipment and supplies files (1982-1985), Finance records (1980-1988), and Personnel records (1980-1987).

Centennial Commission files

Subseries consists of correspondence, minutes, reports and other records relating to Vancouver Centennial Commission legislation, organization, goals, policies and procedures, planning activities and membership, as well as records of the Executive, Personnel, Archives, Search and Finance committees and the Commission Task Force.
Subseries is arranged into the following filing blocks: Commission composition & structure; Administrative committees; Reports to City Council / City Manager / Finance Committee; Task forces; and Early Commission planning.

Finance records

Subseries consists of financial records of the Vancouver Centennial Commission, including financial reports, budgets and general ledgers. Also included are records pertaining to souvenir sales, licensing, work programs funding, and the financial wind-up of the Commission.
Files within this subseries were originally arranged into the following filing blocks: General; Accounts paid; Production accounts paid; Accounts receivable; Budget and estimates; and Work programs; however, only records from the General, Budget and estimates and Work program filing blocks were retained. Additional financial records transferred by the Commission without file numbers are also described in this series.

Personnel records

Subseries consists of records relating to personnel hired to work for the Vancouver Centennial Commission. Includes policies, job classifications and specifications for various staff positions, as well as records pertaining to consultants and volunteers. Records in this subseries are arranged into the following filing blocks: Personnel - general; Classifications and job specifications; Consultants; and Volunteers.

Arts program files

Subseries consists of correspondence, proposals, planning documents and other records pertaining to the incorporation of the arts into Centennial events and celebrations. Types of arts programs considered include visual art, poetry, dance, music, film, and theatre. Included among the proposals are unsolicited poetry, song lyrics and recorded songs pertaining to Vancouver.

Celebrations research files

Subseries consists of records pertaining to research carried out by the Vancouver Centennial Commission with regard to similar celebrations held in Canada, the United States, and internationally. Records include correspondence and reports pertaining to research conducted into the preparation for celebrations in Toronto, Montreal, Los Angeles, Texas, Boston, Philidelphia, Johannesburg and Australia.
Records in this subseries were originally arranged into the following five filing blocks: Celebrations research - general; Celebrations research - B.C.; Celebrations research - Canada; Celebrations research - U.S.A.; and Celebrations research - international.

Centennial project recommendations and listings

Subseries consists of recommendations for Centennial project and mini-grant endorsement, as well as various listings of endorsed projects. Includes listings of projects by type of event, by date of event, numerically by project number, alphabetically by project name, and alphabetically by sponsor name.

Civic decorations files

Subseries consists of correspondence, reports, research material, minutes, photographs, plans and other records relating to civic decorations for the Centennial year. Includes records pertaining to street banners and proposals for decorations.

Community outreach files

Subseries consists of correspondence, reports, speeches and other records relating to Vancouver Centennial Commission outreach activities intended to generate community involvement in Centennial events.

Communications and media relations files

Subseries consists of correspondence, administrative records, proposals, budgets, reports, publications, press releases, photographs, sound recordings, sheet music and other records pertaining to the communications and media relations activities of the Vancouver Centennial Commission. The subseries also includes records relating to the development of the logo, Centennial mascot Tillicum, and other graphics; records relating to promotions for the Centennial song competition and the recording of "The Vancouver Song," a graphics competition, the "Make Vancouver Sparkle" contest, the 100 day countdown to the Centennial, the 1983 to 1985 Grey Cup Parades, Canada Day 1985, and April 6th 1984 and 1985; as well as news releases from the Commission, 1981 to 1986, and issues of the "Centennial Update" and the "Centennial Bulletin."
The files are arranged into the following four filing blocks: Communications - general; Promotions; Press releases; and Centennial Update.

Distribution of funds files

Subseries consists of correspondence, lists, and financial and other records relating to disbursements made for community grants, as well as grants provided by Social Planning, the Department of Communications, and the Secretary of State.

Fundraising files

Subseries consists of files containing correspondence and surveys with potential sponsors to raise funds to support Vancouver Centennial programs. The Team of 100 was a marketing strategy to form a committee for corporate participation in the centennial with the intent to raise funds in the corporate community. Files on individual corporate sponsors outline the nature of the sponsorship and in some cases agreements.
Subseries is arranged into the following four filing blocks: Fundraising - general; Corporate sponsors; Donated goods and services; and Federal government funding.

Community program files

Subseries consists of correspondence, photographs, proposals, publications, and promotional and other material related to various community programs proposed and carried out for the Centennial year. Includes records relating to programs involving business, seniors, historical, multicultural, neighbourhood and youth groups; the military; clubs and associations; health organizations; First Nations groups; religious organizations; shopping malls; post secondary institutions; and various civic boards and institutions. Also included are records pertaining to the Legacy Program and the Chevron Presents Program.
Subseries is arranged into the following three filing blocks: Community program - general; Civic records and institutions; and "Chevron Presents" program.

Licensing program files

Subseries consists of correspondence, reports, proposals, agreements and other records relating to the Vancouver Centennial Commission's Licensing Program. Subseries is arranged into one filing block: Licensing Program.

Portfolio material

Subseries consists of approximately 450 pieces of original and conceptual artwork, promotional posters, and camera ready art produced for the Vancouver Centennial Commission and later assembled by the Commission into portfolios. Includes drawings, photographs, transparencies and layouts.

Printed matter

Subseries consists of publications, graphic material, posters, applications, brochures, letterhead and cardstock produced by the Vancouver Centennial Commission. Includes issues of the publications "Centennial Update," and "Vancouver Centennial Program"; various pamphlets, brochures and application forms; posters and leaflets; decals; and stationary.
The files are arranged into the following four filing blocks: Publications; Graphics and posters; Applications and brochures; and Letterhead and cardstock.

Program committees files

Subseries consists of minutes, correspondence and other records relating to the activities of the committees and sub-comittees established to plan programs for the Centennial year. Includes records pertaining to the Commission Initiatives Committee; Public Institutions Committee; Community and Multicultural Committee and its Labour, Area Planning, Local Programmers, Disabled Involvement, and Multicultural subcommittees; Arts Committee and its History Resource and Literary Arts subcommittees; Sports Committee and its Planning Committee, Advisory Committee, and Provincial / Regional, Special Events, School / Youth Sports, National / International, and Sports Heritage subcommittees.
Subseries is arranged into the following six filing blocks: Program committees; Commission Initiatives Committee; Public Institutions Committee; Community & Multicultural Committee; Arts Committee; and Sports Committee.

Recognition program files

Subseries consists of correspondence, biographies, photographs, an artifact, and other textual and graphic material relating to the planning and execution of various recognition programs held during the Centennial year, including the Distinguished Pioneer Awards, Born in Vancouver program, Seniors Salute, Centenarians Recognition program, 21 Club (those individuals honoured at age 21 in 1936), and babies born on April 6, 1986. Records pertaining to the Distinguished Pioneers include biographies of the one hundred individuals recognized, as well as individuals considered but not honored.

Research and program development files

Subseries consists of incoming and outgoing correspondence, memorandums and some reports relating to research and development of programs for the Centennial year. The files are arranged into two filing blocks: Correspondence and Chronological files.

Scrapbooks

Subseries consists of four scrapbooks containing newspaper clippings pertaining to the activities of the Vancouver Centennial Commission and the various events and projects that took place as part of the Centennial celebrations. Includes special Centennial editions published by local newspapers. Scrapbooks cover the period of 1981 to March 1987.

Sister city program files

Subseries consists of correspondence and promotional and other material relating to Sister City programs with Edinburgh, Odessa, Los Angeles, Guangzhou, and Yokohama. Includes records pertaining to various events put on by Yokohama in Vancouver for the Centennial, including children's programs, kabuki performances, displays and events at Oakridge Mall, Yokohama Day at Expo '86, and Yokohama Festival.

Special events files

Subseries consists of textual and graphic material relating to the research, planning and execution of various Centennial events and programs. Includes records relating to April 6th 1986, the Historic Plaque Program, New Years Eve 1985, Peace Festival and Symposium, re-enactment of the first Council meeting, Vancouver Day, Coeverden visitors, Canada Day, Sea Festival, Labour Festival, Futures Conference, Grey Cup '86, Expo '86, Castle Vancouver, and the Mayor Gift Program.
Subseries is arranged into the following six filing blocks: Special events - Planning and research; Special events; April 6, 1986; Expo '86; Castle Vancouver project; and Mayors Gift Program (Federal Express project).

Sports program files

Subseries consists of correspondence, reports, application forms and proposals, publications, press releases and other promotional material, photographs, contracts, and financial and other records pertaining to sports programs endorsed by the Vancouver Centennial Commission. Included are records concerning the Sports Program Committee and the YMCA Centennial Committee. Series also includes several files containg correspondence and promotional and other material produced for the SunLifestyle program.
Subseries is arranged into the following two filing blocks: Sports program - general and Sunlifestyle Program.

Executive Director records

Series consists of records accumulated by Robert Dubberly during the course of his activities as Executive Director of the Vancouver Centennial Commission. Includes general Commission information; Civic Task Force, sports and project reports; budget and general financial records; licensing records; correspondence and reports pertaining to Centennial grants; and a recording of a television report concerning Yokohama Festival.

Audiovisual material

Series consists of videocassettes with footage of or relating to Vancouver Centennial celebrations. Includes footage of Vancouver in 1986, and footage relating to the city's history, the Commission's plans for the Centennial, "The Vancouver Song," (also known as "Vancouver (you'll always look like home to me)," the "Make Vancouver Sparkle" contest and the April 6th birthday party.

Administration records

Subseries consists of correspondence, minutes, legal documents, records pertaining to insurance matters, and other records created through the administrative activities of the Vancouver Centennial Commission.

Centennial program records collected by the Archives

Series consists of publications and ephemera of various organizations relating to their Centennial activities, sent to the Vancouver Archives at the behest of the Vancouver Centennial Commission. These events were endorsed by the Commission and organizations received funding for them from the City of Vancouver (via the Vancouver Centennial Commission) and the Department of the Secretary of State. Series also includes some material accumulated by City Archivist Sue Baptie while participating in Centennial projects and committees in her role as a Commissioner.
